How It Works

Step 1 – Your Tour Consultant

Meeting with your expert tour consultant is the first step in planning an amazing adventure.  KA consultants bring robust backgrounds in performance, education, and travel.  They have years of experience with student groups and exclusive industry contacts – giving you options you didn’t even know were possible!

When you meet with your personal tour consultant, you’ll dig into the details of your trip:

  • Number of participants
  • Destination
  • Attractions
  • Accommodations

Armed with information, your tour consultant will then work with you to create an itinerary that exceeds your expectations and a trip cost based on your preferences and the factors listed above.

Step 2 – Your Operations Manager

Once you’ve signed a travel agreement, our talented and experienced operations team steps in to handle the trip logistics.

Your personal operations manager becomes your primary point of contact.  The operations manager determines the itinerary flow based on attraction availability, travel times, the confirmed number of participants, etc.

The ops manager will also handle any changes or challenges that pop up – trust that someone always has your back!

Step 3 – Your Customer Support Manager

KA’s pro customer support team will work with your participants to manage payments and registration.  KA’s easy online platform makes this process simple and convenient!

Your individual KA customer support manager is the friendly face (and voice!) for group leaders, parents, and travelers with questions about the trip.

The customer support manager is the primary contact for queries about online registrations, group payments, and individual payments.  S/he can also provide insights about the online crowdfunding option that may be available for your group.
