Individual Payment Instructions

PLEASE NOTE: Your entire group must be enrolled in this program and must be pre-registered with your director or trip leader. We suggest that you print this page before continuing.

Kaleidoscope Adventures is pleased to offer individual, online payments via PayPal. With this service, we are able to accept credit card payments online. Personal checks are also permissible forms of payment, but the traveler’s name, school name and travel dates must be located in the memo section. Each participant must consent to the individual payment program (by signing the individual payment program agreement) in order to take advantage. Please be sure to read the policies and instructions below before making any sort of payment.

PAYMENT POLICY

You will be provided with the payment schedule prior to the first payment being due. Each payment made after the due date, will automatically be assessed a 3% late charge based on the amount due. Payment in full must be made 45 days in advance. If final payment is not made by this time, you are NOT guaranteed space on this trip (please see cancellation charges below). If you are paying with a personal check or money order (the only other forms of permissible payment), the traveler’s name, school name and travel dates MUST be in the memo section, or it will be returned to the return address listed. A $45.00 fee will be applied for checks that are returned due to insufficient funds.

CHANGE POLICIES

All name changes must be notified in writing, reflecting reason for change. Name changes will be subject to a $5 per name fee and will be added to your invoice. Name changes will not be allowed 7 business days prior to trip departure. Kaleidoscope Adventures will not accommodate additional travelers that come on the day of arrival.

CANCELLATION & REFUND POLICIES

All cancellations must be notified in writing, reflecting the reason for cancellation.
First deposits are not refundable, but can be transferred without penalty (unless airline/cruise/Amtrak tickets have been written) to a new traveler. If traveler cancels 35 days or more prior to departure, all payments less the initial deposit, plus $100.00, and any charges that may be levied by airlines, cruise lines, motorcoach lines, hotels, theaters, etc. will be refunded. Less than 35 days prior to departure, all payments are non-refundable. If a refund is due, it will be paid in the form of company check and will be sent within 30 days of refund approval.

MISCELLANEOUS INFORMATION

The trip cost is projected and is based on quad occupancy. You will receive an updated statement within five business days of each payment. A final invoice will be sent to you ten days prior to your final payment date, pending receipt of the group’s rooming list. A final invoice cannot be sent until we have received your school’s rooming list. This final invoice will reflect room/attraction supplements and add-on services over the original trip price.

TRAVELERS INSURANCE

It is suggested that each individual purchase insurance. Please contact your sales representative for more information.

TERMS & CONDITIONS

By signing the individual payment agreement and/or making a deposit/or payment on a trip, you signify acceptance of the following terms and conditions and the information provided to the director/trip leader. Kaleidoscope Adventures, Inc. (herein after, KAI) has coordinated this trip with independently-contracted outside suppliers. KAI is the principal and is responsible to participants for making arrangements for all services and accommodations included in this program. In the absence of its negligence, KAI shall not be responsible for the failure of any of the hotels, airlines, restaurants, ground transportation companies, or other suppliers of arrangements, services or accommodations to perform as set forth in the program literature. KAI, its employees and agents, the teacher-chaperones and your local school are not responsible for the events beyond their control such as (without limitation) strikes, war, delays, weather, acts of God, or government restrictions; or for acts, errors or omissions of persons or entities outside their control including (without limitation) airlines, or surface transportation companies; or for the failure of any reservation. I agree to release KAI, its agents and employees, your local school, and the teacher/chaperones from any and all claims arising out of such events, acts, or omissions.
